Using the Site indicates that you accept these terms regardless of whether or not you choose to utilise our services. If you do not accept these terms, do not use the website. Please be aware that nothing on this website is, or shall be deemed to constitute legal, financial, investment or other advice or a recommendation or endorsement by us in respect of any service referred to on this Website. Information on this website is provided for general information purposes only, should not be relied upon by you and is provided so that you can select the service that you feel is most appropriate to meet your needs. You should always check the suitability, adequacy and appropriateness of the service that is of interest to you and it is your sole decision whether to obtain or refrain from obtaining any service. If you are in any doubt as to the suitability, adequacy or appropriateness of any service referred to on this website, we suggest that you seek independent professional advice before you obtain any or service via this website.

Please be aware that nothing on this Website is, or shall be deemed to constitute, an offer or engagement by us. By submitting your details, you are making a request to obtain specific services from a registered service provider on its terms and conditions that may be accepted or rejected by you as the user. The contract for the service will only be concluded once your offer has been accepted and once the engagement letter of the service provider is signed by you. Details of the services and fees are stipulated in the service provider’s engagement letter.

1. ABOUT OUR TERMS

  • 1.1. These Terms explain how you may use this website (the Site).
  • 1.2. References in these Terms to the Site include www.finhub.com.cy and all associated web pages.
  • 1.3. You should read these Terms carefully before using the Site.
  • 1.4. By accessing or using the Site or otherwise indicating your consent, you agree to be bound by these Terms and the documents referred to in them.
  • 1.5. If you do not agree with or accept any of these Terms, you should stop using the Site immediately.
  • 1.6. If you have any questions about the Site, please contact us by e-mail: support@finhub.com.cy (the majority of email enquiries shall be answered within 24 hours Monday to Friday 9am to 5pm).
  • 1.7. Definitions
    • “Content” means any text, images, video, audio or other multimedia content, software or other information or material submitted to or on the Site;
    • “Terms and Conditions” means the terms and conditions (refer to our terms and conditions), which will apply to you when you utilise our services via the Site;
    • “Site” has the meaning given to it in clause 1.1;
    • “Terms” means these terms and conditions of use as updated from time to time under clause 12;
    • “Unwanted Submission” has the meaning given to it in clause 5.1;
    • “we” means Fin Hub Limited, company registration number HE 332028 and the registered office of which is at Fin Hub Limited, Themistokli Dervi 41, Hawaii Tower, 1066 Nicosia, Cyprus (and “us” or “our” shall have the same meaning); and
    • “you” means the person accessing or using the Site or its Content (and “your” shall have the same meaning).
  • 1.8. Your use of the Site means that you must also comply with our Terms and Conditions, where applicable.

2. USING THE SITE

  • 2.1. You agree that you are solely responsible for:
    • 2.1.1. all costs and expenses you may incur in relation to your use of the Site; and
    • 2.1.2. keeping your password and other account details confidential.
  • 2.2. The Site is intended for use only by those who can access it from within Cyprus. If you choose to access the Site from locations outside Cyprus, you are responsible for compliance with local laws where they are applicable.
  • 2.3. We seek to make the Site as accessible as possible. If you have any difficulties using the Site, please contact us at support@finhub.com.cy.
  • 2.4. We may prevent or suspend your access to the Site if you do not comply with any part of these Terms, any terms or policies to which they refer or any applicable law.
  • 2.5. You must take all reasonable precautions (including using appropriate virus checking software) to ensure that any information, content, material or data you provide (including content as described in our Terms and Conditions) is free from viruses, spyware, malicious software, trojans, worms, logic bombs and anything else which may have a contaminating, harmful or destructive effect on any part of this Site or the websites of third parties or any other technology.
  • 2.6. You are not permitted to use this Site to:
    • 2.6.1. Collect email addresses or other contact information of others for the purposes of sending unsolicited emails or other unsolicited communications;
    • 2.6.2. Promote or encourage illegal activity;
    • 2.6.3. Do anything that is unlawful, harmful, fraudulent, threatening, defamatory, embarrassing, distressing, infringing, abusive, inflammatory, intimidating, harassing, libellous, stalking, profane, obscene, indecent, inappropriate, hateful, discriminatory or racially, ethnically, sexually or otherwise objectionable or for the purpose of harming or attempting to harm minors in any way;
    • 2.6.4. Do anything which violates the rights of others (such as rights of privacy);
    • 2.6.5. Impersonate any other person or falsely state or otherwise misrepresent yourself;
    • 2.6.6. Upload, post, transmit, distribute, share, store or otherwise make publicly available any personal information of any other person including names, addresses, phone numbers and email addresses;
    • 2.6.7. Upload, post, transmit, distribute, modify, reproduce, share, store or otherwise make publicly available any information, material, data or content that infringes any patent, trade mark, trade secret, copyright or other intellectual property right of any other person;
    • 2.6.8. Send any unsolicited or unauthorised advertising, promotional materials, ‘junk mail’, ‘spam’, ‘chain letters’ or any other form of such solicitation; or
    • 2.6.9. Post links to alternative community groups or forums except with our prior written consent.

3. YOUR PRIVACY AND PERSONAL INFORMATION

  • 3.1. Your privacy and personal information are important to us. Any personal information that you provide to us will be dealt with in line with our privacy and cookie policy, which explains what personal information we collect from you, how and why we collect, store, use and share such information, your rights in relation to your personal information and how to contact us and supervisory authorities in the event you have a query or complaint about the use of your personal information.

4. OWNERSHIP, USE AND INTELLECTUAL PROPERTY RIGHTS

  • 4.1. The Site and all intellectual property rights in it including but not limited to any Content are owned by us. Intellectual property rights means rights such as: copyright, trade marks, domain names, design rights, database rights, patents and all other intellectual property rights of any kind whether or not they are registered or unregistered (anywhere in the world). We reserve all of our rights in any intellectual property in connection with these Terms. This means, for example, that we remain owners of them and free to use them as we see fit.
  • 4.2. Nothing in these Terms grants you any legal rights in the Site other than as necessary to enable you to access the Site. You agree not to attempt to circumvent or delete any notices contained on the Site (including any intellectual property notices) and in particular any digital rights or other security technology embedded or contained within the Site.
  • 4.3. Our trade marks and trade names will be used on the Site. The use of any trade marks on the Site is strictly prohibited unless you have our prior written permission.

5. SUBMITTING INFORMATION TO THE SITE

  • 5.1. While we try to make sure that the Site is secure, we cannot guarantee the security of any information that you supply to us and therefore we cannot guarantee that it will be kept confidential. For that reason, you should not let us have any patentable ideas or patent applications, advertising or marketing suggestions, prototypes, or any other information that you regard as confidential, commercially sensitive or valuable (“Unwanted Submissions”). While we value your feedback, you agree not to submit any Unwanted Submissions.
  • 5.2. We may use any Unwanted Submissions as we see reasonably fit on a free-of-charge basis (bear in mind that we have no way of knowing whether such information is confidential, commercially sensitive or valuable because we do not monitor the Site to check for these matters). Therefore, we will not be legally responsible for keeping any Unwanted Submissions confidential nor will we be legally responsible to you or anybody else for any use of such Unwanted Submissions.
  • 5.3. By providing us with the information we may request from you from time to time you acknowledge that the third party service providers are entitled to receive this sufficient information so as to be able to provide an accurate quotation.
  • 5.4. You are responsible for setting your preferred budget which translates to the cost of the services required (“Budget Range”). If this budget is not realistic, for instance is too low, it is very probable that you may not receive the expected number of quotations. Or it could be the case that you may not receive any quotation as your criteria have not been met. It is very important to use realistic / commercial budgets for the purpose of finding a suitable service provider for your needs. Based on this budget you may receive quotations from accounting, audit or legal firms which are willing to perform the work for the Budget Range.

6. ACCURACY OF INFORMATION AND AVAILABILITY OF THE SITE

  • 6.1. While we try to make sure that the Site is accurate, up-to-date and free from bugs, we cannot promise that it will be. Furthermore, we cannot promise that the Site will be fit or suitable for any purpose. Any reliance that you may place on the information on the Site is at your own risk.
  • 6.2. We may suspend or terminate operation of the Site at any time as we see fit.
  • 6.3. Content is provided for your general information purposes only and to inform you about us and our products and news, features, services, general financial information and other websites that may be of interest. This content may be provided in both written and video format. It does not constitute technical, financial or legal advice or any other type of advice and should not be relied on for any purposes.
  • 6.4. While we try to make sure that the Site is available for your use, we do not promise that the Site is available at all times nor do we promise the uninterrupted use by you of the Site.

7. HYPERLINKS AND THIRD PARTY SITES

The Site may contain hyperlinks or references to third party websites other than the Site. Any such hyperlinks or references are provided for your convenience only. We have no control over third party websites and accept no legal responsibility for any content, material or information contained in them. Any views, opinions, advice or assistance which is given or provided to you by a third party after you have used this Site do not represent our views, opinions, advice or assistance and are not checked, monitored, reviewed, verified or endorsed by us.

We do not endorse, recommend or take responsibility for any third party who provides you with any views, opinions, advice or assistance. You act or refrain from acting on any third party’s views, opinions, advice or assistance at your sole risk and sole discretion and you are solely responsible for any decision to act or refrain from acting on such views, opinions, advice or assistance.

We are not responsible or liable for any loss or damage you may suffer or incur in connection with such views, opinions, advice or assistance including in relation to their accuracy, truthfulness or completeness or for any acts, omissions, errors or defaults of any third party in connection with such views, opinions, advice or assistance.

9. LIMITATION ON OUR LIABILITY

  • 9.1. We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors and for fraud or fraudulent misrepresentation.
  • 9.2. Different limitations and exclusions of liability will apply to liability arising as a result of the supply of any services to you, which will be set out in the relevant agreement between us and you.
  • 9.3. If you are a business user:
    • 9.3.1. We exclude all implied conditions, warranties, representations or other terms that may apply to our Website or any content on it.
    • 9.3.2. We will not be liable to you for any loss or damage, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, even if foreseeable, arising under or in connection with:
      • (a) use of, or inability to use, our Website; or
      • (b) use of or reliance on any content displayed on our Website.
    • 9.3.3. In particular, we will not be liable for:
      • (a) loss of profits, sales, business, or revenue;
      • (b) business interruption;
      • (c) loss of anticipated savings;
      • (d) loss of business opportunity, goodwill or reputation; or
      • (e) any indirect, special or consequential loss or damage.
  • 9.4. If you are a consumer user:
    • 9.4.1. Please note that we only provide our Website for domestic and private use. You agree not to use our Website for any commercial or business purposes, and we have no liability to you for any loss of profit, loss of business, business interruption, or loss of business opportunity.
    • 9.4.2. We will not be liable to you for losses that:
      • (a) were not foreseeable to you and us when these Terms were formed; or
      • (b) that were not caused by any breach on our part.
  • 9.5. We cannot be held liable for any poor performance of services offered to you by any third party service providers, or any other user, as a result of using this Site and separately contracting with each other.

10. EVENTS BEYOND OUR CONTROL

We shall have no liability to you for any breach of these Terms caused by any event or circumstance beyond our reasonable control including, but not limited to, strikes, lock-outs or other industrial disputes; breakdown of systems or network access; or flood, fire, explosion or accident.

11. RIGHTS OF THIRD PARTIES

No one other than a party to these Terms has any right to enforce any of these Terms.

12. VARIATION

These Terms are dated 16/7/2021. No changes to these Terms are valid or have any effect unless agreed by us in writing or made in accordance with this clause 12. We reserve the right to vary these Terms from time to time. Our updated Terms will be displayed on the Site and by continuing to use and access the Site following such changes, you agree to be bound by any variation made by us. It is your responsibility to check these Terms from time to time to verify such variations.

13. DISPUTES

  • 13.1. We will try to resolve any disputes with you quickly and efficiently.
  • 13.2. If you are unhappy with us please contact us as soon as possible.
  • 13.3. If you and we cannot resolve a dispute using our complaint handling procedure, we will:
    • 13.3.1. let you know that we cannot settle the dispute with you; and
    • 13.3.2. give you certain information about our alternative dispute resolution provider.
  • 13.4. If you want to take court proceedings, the relevant courts of Cyprus will have exclusive jurisdiction in relation to these Terms.
  • 13.5. Relevant Cyprus law will apply to these Terms.

14. FEEDBACK

We welcome and encourage you to provide feedback, comments and suggestions for improvements to the Site. You may submit feedback by emailing us, through the “Contact” section of the Site, or by other means of communication. Any feedback you submit to us will be considered non-confidential and non-proprietary to you. By submitting feedback to us, you grant us a non-exclusive, worldwide, royalty-free, irrevocable, sublicensable, perpetual license to use and publish those ideas and materials for any purpose, without compensation to you.

Privacy Statement for Google Meet Usage in FinHub Bookings

This Privacy Statement describes how FinHub (“we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you book and participate in meetings via Google Meet. By scheduling or joining a FinHub meeting hosted on Google Meet (“Meeting”), you acknowledge and agree to the practices described herein.

1. Scope and Applicability

This statement applies exclusively to information collected through FinHub’s booking system and Google Meet sessions. It does not cover any other FinHub services, websites, or third-party links beyond Google Meet. If you access Google Meet directly (outside of a FinHub booking), please refer to Google’s own Privacy Policy.

2. Information We Collect

2.1. Information Provided by You

  • Registration & Booking: When you schedule a meeting through FinHub’s booking platform, we collect your name, email address, company affiliation (if provided), and any additional information you choose to share (e.g., phone number, meeting agenda).
  • Meeting Participation: To join a Meeting, Google Meet typically requires a valid email address (used as your identifier) and may collect your profile picture or display name if you have a Google Account.

2.2. Information Collected Automatically

  • Usage Data: During the Meeting, Google Meet may automatically collect data such as IP address, device type, browser type, timing of access, and duration of your session.
  • Audio/Video Streams: Audio, video, and screen-sharing data are processed by Google to facilitate the Meeting. If recording is enabled, Google’s systems temporarily process media streams to encode and store the recording.

3. How We Use Your Information

  • Facilitating the Meeting: We use your contact information to send Meeting invitations, reminders, and access links.
  • Communications & Support: We may send follow-up emails to provide meeting materials, respond to inquiries, or collect feedback.
  • Internal Administration: FinHub may store meeting metadata (e.g., date, time, participants, and duration) for internal reporting and quality assurance.
  • Security & Fraud Prevention: We monitor usage patterns (e.g., unauthorized access attempts) to protect against abuse and ensure the integrity of our Meetings.

4. Third-Party Processing by Google

When you join a FinHub Meeting on Google Meet, Google acts as a data processor. Please note the following:

  1. Data Storage & Transmission
    • Google transmits audio/video data over encrypted channels. Transcripts (if enabled) are stored in Google’s servers according to Google’s retention policies.
    • Any recorded Meetings (audio, video, captions, or screen shares) are stored in our designated Google Workspace account (or linked storage) and are subject to Google’s storage and retention controls.
  2. Google’s Privacy Practices
    • For detailed information on how Google collects, uses, and shares your data, please review Google’s Privacy Policy: https://policies.google.com/privacy
    • Google may collect technical logs (IP Address, device information) to ensure call quality, security (e.g., detecting unauthorized access), and to provide troubleshooting assistance.
  3. Data Residency
    • Google Meet’s data centers may be located outside your country of residence. By using Google Meet, you consent to cross-border data transfers compliant with applicable data protection laws.

5. Recordings and Transcriptions

If FinHub elects to record a Meeting:

  • Consent: We will notify all participants at the start of the Meeting that it is being recorded. If you do not consent, you may choose to exit the session.
  • Storage: Recordings are stored in our secure Google Workspace environment. Access is restricted to authorized FinHub personnel and any participants explicitly granted permission.
  • Retention: Recordings are retained for a period not exceeding one year unless otherwise required by law or business necessity. After the retention period, recordings will be permanently deleted from our systems.
  • Transcripts & Captions: If automatic transcription or live captions are enabled, the textual data is stored alongside the recording. These transcripts are treated as recordings and are subject to the same retention and deletion policies.

6. Cookies and Tracking Technologies

  • FinHub Booking Platform: Our booking pages may use cookies, web beacons, or similar tracking technologies to ensure the site functions correctly, prevent fraud, and measure site usage. You can adjust your browser settings to block or delete cookies; however, certain features may not function properly if cookies are disabled.
  • Google Meet: Google employs its own cookies and tracking technologies during Meetings to optimize call quality, remember user preferences, and provide analytics. Please consult Google’s Cookie Policy for more details: https://policies.google.com/technologies/cookies

7. Information Sharing and Disclosure

7.1. With Service Providers

  • Google LLC: As noted, Google processes audio, video, and metadata solely to facilitate Meetings. Google does not use the content of your Meeting (audio/video) for advertising or service personalization outside the scope of providing Meet functionality.
  • Other Vendors: We may engage third-party vendors to provide ancillary services (e.g., email delivery, technical support). These vendors are contractually bound to process your personal information only for the purposes specified by FinHub and to maintain confidentiality.

7.2. Legal Compliance

  • We may disclose personal information if required by law (e.g., a valid subpoena), to respond to lawful requests from public authorities, or to protect FinHub’s rights, property, or safety, or the rights, property, or safety of others.

8. Data Security

  • Encryption: All Meeting data transmitted between participants and Google’s servers is encrypted in transit (TLS). Audio/video streams are also encrypted end-to-end to the extent supported by Google Meet.
  • Access Controls: Only authorized FinHub employees and designated administrators can access meeting metadata and recordings. Access is protected by multi-factor authentication (MFA) and strict role-based permissions.
  • Data Breach Procedures: In the event of a security breach affecting your personal data, FinHub will promptly notify affected individuals and relevant supervisory authorities in accordance with applicable data protection laws.

9. Your Privacy Rights

Depending on your jurisdiction, you may have some or all of the following rights regarding your personal information:

  1. Access: Request a copy of the personal information we hold about you.
  2. Rectification: Ask us to correct any inaccurate or incomplete data.
  3. Deletion: Request deletion of your personal information, subject to legal or contractual obligations.
  4. Restriction: Ask us to restrict processing in certain circumstances (e.g., when accuracy is contested).
  5. Portability: Request your personal information in a structured, commonly used, and machine-readable format.
  6. Objection: Object to our processing of your personal data for direct marketing or legitimate interests.
  7. Withdraw Consent: If we rely on your consent to process certain data, you have the right to withdraw that consent at any time.

To exercise any of these rights, please contact us using the details in Section 11. We will respond to your request in accordance with applicable law (typically within 30 days).

10. Data Retention

  • Meeting Invitations & Booking Data: We retain your booking details (name, email, meeting schedule, and agenda) for as long as reasonably necessary to fulfill the purposes outlined (e.g., ensuring meeting invitations remain valid), and for an additional one-year period afterward unless you request earlier deletion.
  • Meeting Recordings & Transcripts: Unless a different retention period is legally required, recordings and transcripts are deleted one year after the Meeting date.
  • Audit Logs & Metadata: Technical logs (e.g., IP addresses, timestamps, and device information) may be retained for up to two years for security and compliance purposes, unless otherwise mandated by law.

11. Children’s Privacy

Our Meetings are intended for business and professional purposes; we do not knowingly collect personal information from individuals under 16 (or the minimum age required by local law) to schedule or join a Meeting. If you believe we have collected data from a minor in error, please contact us immediately so that we can delete such information.

12. International Data Transfers

FinHub and Google may transfer personal data across international borders, including from your country of residence to the United States or other jurisdictions. We implement appropriate safeguards—such as Standard Contractual Clauses approved by relevant data protection authorities—to protect your personal information when transferred internationally.

13. Updates to This Privacy Statement

We may update this Privacy Statement to reflect changes in our practices or legal requirements. The “Last Updated” date at the top will indicate when this document was most recently revised. Significant changes will be communicated via email to registered Meeting participants or by notice on our website prior to taking effect.
